Terms & Conditions

Last updated: 24 July 2026. These terms apply to all bookings made with Holidays Zone. Please read them before confirming your tour, as paying the advance amount means you accept them.

1. Booking & confirmation

  • A quotation is an offer, not a confirmation. We proceed with your booking only after we receive your confirmation and the advance payment.
  • To confirm any package you must pay the advance amount specified by your travel advisor. The balance is payable as agreed before or at the start of travel.
  • Rooms and vehicles are subject to availability at the time of confirmation.
  • Rates are subject to change depending on hotel occupancy at the time of booking, and vary by season and off-season for each destination.
  • Peak dates (Dussehra, Diwali, Christmas – New Year, summer holidays and long weekends) may carry a surcharge and stricter hotel cancellation terms.
  • All guests must carry a valid government photo ID; hotels may refuse check-in without one.

2. Payment

  • Payments may be made by the modes advised at the time of booking. Please share the payment reference so we can confirm promptly.
  • Applicable taxes are charged as per prevailing government rates.
  • Where a price is displayed in error on this website or in a quotation, we will inform you before proceeding; you may then confirm at the corrected price or cancel for a full refund of any advance paid.

3. Hotels & accommodation

  • If the hotel named is unavailable, we will provide an alternative of a similar category. If there is any variation in tariff we will inform you and proceed only after your confirmation.
  • All packages include the base category room of each hotel. If you need a different room type, tell us in advance so we can confirm availability.
  • Check-in and check-out times follow the selected hotel’s policy.
  • Early check-in depends on room availability. If the hotel is sold out it may be refused. Where early check-in is granted, check-out on the departure day will be at the same time.
  • Number of breakfasts = number of nights. Breakfast is not served on the arrival date, as per hotel policy.
  • Child and extra-bed policies vary by hotel; please confirm ages at the time of booking so the correct occupancy is reserved.
  • Room heaters and air conditioners are not included in any hill-station package.

4. Vehicle & transport

  • Cab and driver details are shared 12–16 hours before arrival.
  • Hyderabad packages: the vehicle is provided on a 12 hours / 80 km per day limit, calculated daily. Extra kilometres or hours are payable directly to the driver. The daily limit includes one airport pickup and one airport drop.
  • The vehicle is provided for the itinerary agreed. It is not at disposal for unplanned detours unless agreed and charged separately.
  • Drivers require adequate rest. Late-night running is at the driver’s discretion and subject to safety.
  • On hill routes, air conditioning may not run continuously due to gradient and engine load.
  • Certain forest routes are closed to traffic at night — notably the Bandipur and Mudumalai stretches, closed between 9:00 PM and 6:00 AM. Itineraries on the Mysore – Ooty – Coorg circuit are planned around this.

5. Sightseeing & itinerary

  • The itinerary is indicative, not fixed. Sightseeing places listed will be covered as time permits.
  • Sightseeing depends on prevailing weather and local conditions, restrictions imposed from time to time by the authorities, and the time available. If a place is closed during your travel, an alternative may be substituted.
  • We are not responsible for decisions of local governments, departments or authorities regarding traffic diversions, sightseeing closures, road closures or parking arrangements.
  • Monument entry tickets, ride tickets, camera charges, safari and boating fees, guide charges and similar are payable directly at each site unless expressly stated as included.
  • Some attractions require permits or have daily visitor limits (for example Berijam Lake in Kodaikanal, and treks such as Chembra Peak in Wayanad). These are granted by the forest department and cannot be guaranteed.
  • Costs arising from natural events such as landslides or road blockages, or from political disturbances such as strikes or bandhs, are to be borne by the guest.

6. Cancellation policy

All cancellations must be sent to us by email. The following deductions apply to the tour cost:

45 days or more before arrival 10% of tour cost
44 – 30 days before arrival 30% of tour cost
29 – 15 days before tour start date 50% of tour cost
14 – 8 days before tour start date 70% of tour cost
Within 7 days of tour start date 100% of tour cost

Certain hotels, resorts and peak-season bookings carry non-refundable terms of their own. Where these apply, they override the schedule above and will be told to you at the time of booking.

7. Amendments & no-show

  • Date changes and itinerary amendments are subject to availability and any difference in cost, and may attract hotel or transport charges.
  • No-show — failure to arrive without prior written notice — is treated as a cancellation within 7 days, with no refund.
  • Unused services, including unused nights, meals or sightseeing, are non-refundable.
  • Early departure or shortening of the tour after it has begun does not qualify for a refund.

8. Refunds

  • Approved refunds are processed to the original payment method, normally within 7–14 working days of confirmation, subject to the deductions above.
  • Bank or payment-gateway charges, where applicable, are not refundable.

9. Force majeure

We are not liable for failure to perform where it is caused by events beyond our reasonable control, including natural calamities, landslides, floods, extreme weather, epidemics, government or forest-department orders, strikes, civil unrest, accidents, road closures or transport disruption. In such cases we will make reasonable efforts to provide alternatives; any additional cost is payable by the guest, and supplier cancellation terms will apply.

10. Our role & limitation of liability

  • Holidays Zone arranges hotels, transport, guides and activities that are operated by independent third-party suppliers. We select them with care but do not own or control them.
  • We are not liable for loss, damage, injury, delay or additional expense arising from the act, default or negligence of any such supplier, or from circumstances beyond our control.
  • Our liability in any event is limited to the amount actually paid to us for the affected service.
  • We strongly recommend that guests arrange their own travel and medical insurance.

11. Guest responsibilities

  • Guests are responsible for their own belongings, documents and valuables throughout the trip.
  • Guests must be reasonably fit for the activities booked. Several attractions involve long climbs, steep steps or forest treks; please tell us in advance of any medical condition or mobility limitation so the itinerary can be planned suitably.
  • Smoking, alcohol consumption and any illegal substance in the vehicle are not permitted. Damage to hotel or vehicle property is payable by the guest.
  • Guests must comply with the rules of hotels, monuments, temples and forest areas, including dress codes and photography restrictions.
  • We may decline to continue services where a guest’s conduct endangers others or breaches the law, without refund.

12. Website content

Sightseeing timings, entry fees, show timings and other visitor information published on this website are provided as guidance and are collected from public sources. They change from time to time without notice, and we recommend confirming them before your visit. Content, images and material on this website are the property of Holidays Zone and may not be reproduced without permission.

13. Privacy

Details you share with us are used only to respond to your enquiry, prepare your quote and arrange your trip. Please see our Privacy Policy for more.

14. Grievances & jurisdiction

  • If something goes wrong during your trip, please tell your coordinator immediately so we can attempt to resolve it while you are still travelling. Complaints raised afterwards are far harder to remedy.
  • Any complaint should be sent in writing to hello@holidayszone.in within 30 days of the tour ending.
  • These terms are governed by the laws of India, and disputes are subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana.
